Quoter / Administrative Assistant

Job summary

The Christmas Light Quoter/Administrative Assistant will help manage incoming Christmas lighting leads, prepare quotes, communicate with customers, and support our team during our busiest time of year. This position is ideal for someone who is comfortable working independently, communicating with customers, using technology, and staying organized while handling multiple leads and projects.

Essential duties & responsibilities

• Review incoming Christmas lighting leads and customer information
• Review properties using customer photos, online mapping tools, measurements, and other available information
• Build accurate Christmas lighting quotes using Xtreme Lighting's pricing and quoting system
• Communicate professionally with prospective and existing customers by phone, text, and email
• Follow up with customers regarding outstanding quotes or missing information
• Update customer records, notes, opportunities, and quote statuses
• Assist with scheduling and other administrative tasks during the Christmas season
• Coordinate with the installation team when clarification is needed
• Maintain accurate and organized customer information
• Follow Xtreme Lighting's pricing, quoting, and customer-service procedures

• Strong attention to detail
• Good communication and customer-service skills
• Comfortable using computers, smartphones, online maps, and business software
• Ability to learn new software and systems quickly
• Ability to work independently and make good decisions
• Organized and able to manage multiple customers and quotes at the same time
• Dependable and responsive during the busy season
• Previous estimating, sales, administrative, or customer-service experience is helpful but not required
